Reservation Information |
- All reservation requests must be submitted through our online system
- If reserving for an organization, please submit your request through your organizational account.
- If reserving for personal use, please submit your request through your household account.
- Reservation requests should indicate the time the first person will be arriving and the time the last person will be leaving.
- If the use of the facility involves a caterer or the sale/serving of food to the public, you must contact the Board of Health (508) 862-4644 to obtain a Food Service License.

- One-Time Use Where No Event Entrance Fees Are Charged:
Resident or Non-Profit Group (with certification): $10.00/Up to 3 Hours All Others: $60.00/Up to 3 Hours
- One-Time Use Where Event Entrance Fees Are Charged:
Resident or Non-Profit Group (with certification): $20.00/Up to 3 Hours All Others: $80.00/Up to 3 Hours
- Annual Fees Where No Event Entrance Fees Are Charged:
Non-Profit (with certification): Up to 3 Hours/Day/One Day Per Week, $100 Annually All Others: Up to 3 Hours/Day/One Day Per Week, $600 Annually
- Annual Fees Where Event Entrance Fees Are Charged:
Non-Profit (with certification): Up to 3 Hours/ Day/One Day Per Week, $200 Annually All Others: Up to 3 Hours/Day/One Day Per Week, $800 Annually
- All above fees are doubled for non-residents.
- Extended hours will be considered on a case-by-case basis, and all extensions will be billed in 3-hour increments.
- Additional damage fees may be assessed by the Town after the event.

Facility Information |
- The Town reserves the right to reschedule/relocate permit holder’s activities. The Town will make every effort to notify users in a timely manner of any closures or delayed openings.
- Permit times are strictly enforced.
- The Town is not responsible for damages or losses to the Applicant’s property.

Permit Holder Responsibilities |
- Permit Applicant/Holder must be 21 years or older.
- The permit holder may pick up the key at the Hyannis Youth and Community Center, 141 Bassett Lane, Hyannis, Wednesday – Friday, 8:30am - 4:30pm. All keys must be returned to the HYCC within 48 hours.
- The permit holder or representative of the organization must be on-site at all permitted times and have a copy of the permit with them. This person is responsible for the actions of all participants and spectators.
- The permit holder is responsible for all set-up of equipment, tables, chairs, etc. All equipment moved shall be returned to the original set-up.
- The permit holder is responsible for all clean-up at the facility including sweeping of floors, wiping down tables and chairs and removal of all trash.
- The permit holder is responsible for making sure all lights are shut off, all windows and doors locked before leaving.
- The permit holder is responsible for ensuring all visitors adhere to all policies.

General Information |
- Building hours are 8:00am – 8:00pm, there are no extensions to this timeframe.
- Our community buildings are very busy, everyone should expect that there will be groups scheduled prior to and after your scheduled events. All permit holders are expected to adhere to the times on their permit.
- Misrepresentation of building use will result in the forfeiture of all rental fees and security deposits.
- The following items are not allowed in the facility:
- Glass bottles
- Open flames for cooking
- Inflatable devices (ex. Bounce houses)
- Glitter
- Confetti
- No decorations may be hung from doors, windows or trim. This includes balloons, banners, etc. Only painter’s tape may be used to secure items to the walls. All painter’s tape must be removed during cleanup.
- All lights shall be turned off and all exterior doors and windows locked when leaving the building.
- An event requiring a police detail (as determined by Barnstable Police Department) will result in all associated detail fees being assessed to the permit holder.
- A Permit may not be sub-let to a different organization. Unauthorized permit sub-letting will result in an immediate loss of the permit.
- Fees will be assessed to the permit holder for repair costs including labor and materials for damage caused to the facility.
- Parking is allowed in designated areas only; the permit holder needs to ensure all fire lanes remain clear of parked vehicles. Vehicles parked illegally may be ticketed or towed.
- Any keys issued may not be duplicated. All keys must be returned to the Recreation Division within 48 hours of the last scheduled use. A fee of $100/key will be assessed for any lost keys.
- Use of controlled substances including but not limited to alcohol, tobacco and vape products is prohibited.
- No animals, except for service animals, are allowed in community buildings.
- Each organization must appoint a contact person who will be accessible via email and phone. This person will be responsible for disseminating information from the Town regarding closures, issues or other information.
- The Town of Barnstable reserves the right to close facilities
- The Town prohibits the sale and/or distribution of goods without prior written authorization. This includes but is not limited to fundraising activities, concessions, etc.
- Failure to adhere to any of the policies and procedures set forth by the Town of Barnstable may result in an organization’s permit being revoked. Fees are not refunded or adjusted for revoked permits.
- Any organization that has a permit revoked must wait one year from the date of revocation before applying for a new permit.
